Terms of Service

These Terms of Service (“Terms”) govern your access to and use of SalaPod. By signing up for or using SalaPod, you agree to be bound by these Terms.
SalaPod is operated by Hayden Wells (sole trader) trading as SalaPod, ABN 37 432 665 741, of 3/9 Albert Street, Annerley QLD 4103, Australia.

1. The service
SalaPod is a scheduling and invoicing application designed for wellness practitioners (yoga teachers, pilates instructors, personal trainers, and similar) and the studios that hire them. The service includes class scheduling, substitution management, calendar synchronisation, invoice generation, and related features.
We may add, change, or remove features at any time. We'll let you know about significant changes that affect how you use SalaPod.
2. Your account
To use SalaPod, you need to create an account with a valid email address. You're responsible for:
- Keeping your account credentials secure
- All activity that happens under your account
- Making sure the information in your account (including business details used on invoices) is accurate and current
You must be at least 18 years old to create a SalaPod account.
You may have only one account per person. Studio managers may create one account per studio they operate.
3. Acceptable use
When using SalaPod, you agree not to:
- Use the service for anything illegal
- Send spam, fraudulent, or misleading invoices through the service
- Attempt to access another user's account or data without authorisation
- Reverse-engineer, decompile, or otherwise attempt to extract source code from the service
- Run automated scrapers, bots, or load-testing tools against the service without our written permission
- Resell, sublicense, or otherwise redistribute the service to third parties
- Use the service to harass, harm, or defraud anyone
We may suspend or terminate your account if we reasonably believe you've breached this section.
4. Pricing and billing
Current pricing (subject to change with notice):
- Practitioner plan: $9.99 per month
- Studio plan: $99 per month, including 5 practitioners; $8 per additional practitioner per month
Beta period.During the early access / beta period, SalaPod is provided free of charge while we work with our first cohort of users. We'll give you reasonable advance notice (at least 30 days) before any paid plan begins charging your account. You'll have the option to cancel before any charge is applied.
When billing is enabled (via Stripe Billing), subscriptions will be billed monthly in advance. Cancellations take effect at the end of the current billing period. We do not offer pro-rata refunds for partial months unless required by Australian Consumer Law.
Stripe Connect for invoice payments. Practitioners can connect their own Stripe Connect account to receive payments from clients on invoices issued through SalaPod. Stripe applies its own fees to those transactions (typically around 1.7% + 30c for Australian cards). Stripe is the payment processor; SalaPod does not handle or hold customer payment information.
5. Your data
You own the data you create, upload, or store in SalaPod (including class schedules, invoices, client information, and notes).
By using SalaPod, you grant us the limited right to store, process, and transmit your data for the purpose of operating the service. We never sell your data, never use it to train AI models, and never share it with advertisers.
You can export your data at any time using the built-in features (PDF download for invoices, CSV export for tax summaries, iCal for calendar). On request, we can also provide a more complete export.
If you delete your account, we delete or anonymise your data within a reasonable timeframe, subject to the retention requirements described in our Privacy Policy (notably 7 years for invoice records, as required by Australian tax law).
6. Service availability
We aim to keep SalaPod available and working well, but we do not guarantee uninterrupted service. From time to time the service may be unavailable due to maintenance, third-party provider issues (Supabase, Vercel, etc.), or events outside our control.
We will use reasonable efforts to minimise downtime and to notify you of planned maintenance in advance.
7. Termination
By you: You can cancel your account at any time via the Settings page or by emailing hello@salapod.com.
By us:We may suspend or terminate your account if you breach these Terms, if your account is inactive for an extended period, or if continuing to provide the service to you would expose us to significant legal or operational risk. Where reasonable, we'll let you know first and give you a chance to remedy the issue.
If we terminate the service generally, we'll give all users at least 60 days' notice and provide tools to export their data.
8. Australian Consumer Law
Nothing in these Terms is intended to exclude, restrict, or modify any consumer rights or guarantees you may have under the Australian Consumer Law that cannot lawfully be excluded.
For services that aren't subject to the consumer guarantees (for example, services provided to a business of more than 100 employees, or for resupply purposes), our liability is limited to the amount you paid for SalaPod in the 12 months before the relevant event.
9. Disclaimer
Except where prohibited by law, SalaPod is provided “as is.” We don't promise the service will be perfect, error-free, or fit any particular purpose beyond what's reasonably implied by its description.
You're responsible for keeping backups of your data and verifying invoice accuracy before sending invoices to your clients. SalaPod is a tool; you're the professional sending the invoice.
10. Limitation of liability
Subject to section 8, our total liability to you under these Terms (whether in contract, tort, or otherwise) is limited to the amount you paid for SalaPod in the 12 months immediately preceding the event giving rise to liability. We are not liable for indirect or consequential losses, including lost profits, lost data, or lost business opportunities.
11. Changes to these Terms
We may update these Terms from time to time. We'll update the “Last updated” date at the top and, for material changes, notify you by email at least 30 days before the change takes effect. If you don't agree to the updated Terms, you can cancel your account before they take effect.
12. Governing law and disputes
These Terms are governed by the laws of Queensland, Australia.
If a dispute arises, both parties will first try to resolve it informally by contacting each other. If informal resolution doesn't succeed within 30 days, the dispute will be resolved by the courts of Queensland, Australia, and you and we agree to submit to the exclusive jurisdiction of those courts.
